Membership Meeting Minutes
February 24, 2025
Meeting called to order at 3:03 p.m. by President Jorge Pereria. Board members present Doug Hemler, V.P., Marie Britten, Treasurer, Cappy Santini, Programming Director, Marylee Marks, Secretary. Absent Joye Melby, past President advisor.
New Business:
Membership Information: Jorge welcomed the 5 new members present and asked each for a brief introduction to themselves and their art form. Currently, the club has 108 active members. Jorge reiterated his theme of the club belonging to members to make it what they wish. He then reminded members that the main communication tools are email and the website. He drew attention to the “Featured Artist” area on the home page, currently showcasing glass artist Betty Scharfman. He stated interested artists can be featured by using the prompts on the webpage.
Secretary Report: Marylee stated minutes for the last membership meeting (10/28/24) as well as the last Board meeting (1/17/25) were posted to the website. Jorge added that after much discussion reviewing the suggestions members offered in the 10/24 meeting, this year’s budget was finalized. His belief in “total transparency” is firm in all aspects of finance and club operations. He encouraged interested members to review the budget now posted.
Treasurer Report: Marie reported an estimated balance of $8,000.00 including the recent influx of Art Walk registration payments. The HOA requires clubs with dues to submit plans for current and near future use of those monies rather than simply accumulate large sums. The budget will be addressed each year.
Programming: Cappy stated a change in her team and requested additional volunteers. She reviewed the multiple classes and activities scheduled for March and April. She also reviewed some highlights of the well-received classes, instructors, and activities of recent months. She stated her appreciation of Trilogy community artists willing to teach classes, as well as those from then greater community at large. Members were encouraged to check out the printable calendar.
Art Walk Committee: Trish King (co-chair) stated her duties are mainly promotions and named various sources she has reached out to. These include the Peoria Independent newspaper, Nextdoor, local Vistancia villages, Friedman’s realtor newsletter and the My Trilogy Life website. She stated there will be more visible marketing in the coming weeks. She informed members that art walk participant directories/maps will be available at both clubs and on the website to download as the date approaches. Trish then requested volunteers to assist at the Mita club both Saturday and Sunday. The roles would be #1: assisting artists arriving early each morning to locate their place and set up if necessary. #2: to assist in the tear down and removal of items after 3pm. The discussion continued with Trish and Jorge answering multiple queries regarding the use of each club, fees involved, assignment of spaces, removal of artists’ displays on Saturday afternoon, as well as problems with parking at both sites. Jorge reiterated the Art Walk committee is working on all aspects of these events, with other influences effecting the outcome each time.
Volunteers: Jorge reminded members that all ideas are welcome, use his email to communicate and he will respond. He stated an email will be sent describing the specific needs for volunteers in many aspects of club management.
Open Forum: One member described her positive experience as a participating artist at the Fountain Hills Art Festival and encouraged fellow artists to try working at a larger venue.
After calling for additional business and having none offered, Jorge adjourned the meeting at 3:48 p.m.
