TAL Board Meeting Minutes

Attendance

  • Jorge Pereira (President)

  • Marylee Marks (former Secretary)

Call to Order

Jorge Pereira called the meeting to order at 4:08 PM. Brief introductions were made by all present.


President’s Announcements

  • A warm welcome to Marylee Marks. Jorge acknowledged your contributions and dedication to the Club for the past MANY years!. Good to hear you are on the recovery road. Much love!
  • Jorge Pereira announced he will be moving out of Trilogy in late September or mid-October, effective October 15, 2025 he needs to resign from the board. 
  • Steps needed:
    • Election of new President 
    • Election of new Secretary
    • Confirmation that Treasurer continues.

Transition Planning

  • Jorge offered to continue as webmaster after his move, but requested someone else handle communications/monthly updates.
  • He sent a survey on communication tools in August; low response, little Facebook usage.
  • Technical and communication transition outlined; Jorge can train others as needed.

Club Operations & Documentation

  • Behind-the-scenes club processes are now being documented for continuity.
  • Guidance provided on managing the website, member email archive, and event communications archive.
  • Jorge stressed the importance of using club-branded emails for officer roles for consistency.
  • Overview of WordPress tools, email help desk, and processes for managing member inquiries was demonstrated.

Upcoming Events

  • “Meet the Clubs” event: Saturday, October 11, 10 AM–12 PM at Kiva Club.
    • Betty Sharfmans volunteering at table; members can display art pieces.
  • HOA video about the club: To be coordinated week of November 17. Cappy to contact Jennifer Thomason for details.
  • Art Walk scheduled for November (exact date TBA); note: no tablecloths provided by Lifestyle team this year—members must bring their own.

Officer Elections

President

  • Jorge formally tendered his resignation, effective October 15, 2025.
  • Motion to elect Doug Hamler as incoming President (to assume role after October 9th); passed unanimously.

Secretary

  • Marylee Marks unable to continue as Secretary. (she is doing well still recovering)
  • Trish King nominated and elected as Secretary, with Cappy and Genevieve offering support.

Treasurer & Finances

  • Marie Britton to continue as Treasurer.
  • Coordination needed for transition of bank account after the change in presidency; Marie and Doug to connect in November.
  • Technical issue noted: PayPal payment notifications not currently received by system; Jorge to troubleshoot. (No Action Item from the board needed)

Committee & Operations Updates

  • Communications: Monthly updates to continue; Jorge to send draft of September update, then transitions to new leadership
  • 2025 Fall ArtWalk is November 15-16 (Mita area and Artists Homes) and call for artists (October 1–15). Jorge to send email for event announcement.
    • Jorge to train others on how to run the “tech-behind the ArtWalk” (graphics, website, etc.)
    • Jorge will change distro list of new member registration to all board members. (club.leadership@theartisansleague.com)
  • Event communications, website, member features, and use of templates and archives were demonstrated.
  • Welcoming new members process discussed; needs to be created and documented by future volunteer(s). We have 3 new members join the club over the summer.
  • The following distribution emails ( all ending with: @theArtisansleague.com ) forwarding to the correct people have been created to simplify the transition and future management process.

  • Jorge to provide access and train to shared helpdesk management system that handles member.services email account where all contact forms are received.
  • AI transcription and meeting recording discussed; manual review and editing still required for accuracy.

Next Meeting

  • October 22, 2025, at 4:00 PM (Zoom), to be led by Doug Hamler (President-elect).
    • Jorge will assist with Zoom setup as needed.

  • Ongoing open support from Jorge Pereira for technical issues, transition, and club management training.
  • Jorge to inform Lifestyle Committee / HOA of leadership changes.
  • Cappy, Doug, and others to coordinate on remaining transition tasks.
